Dispatcher Contest
Full Circle TMS will hold a dispatcher contest from April 1, 2017 to August 31, 2017 (5 months). The contest will have
- 3 individual monthly winners (for the months of April, May, June, July and August) who will receive cash prizes (a total of 3 winners per month for 5 months means 15 winners)
- 3 individual grand prize winners to be drawn from eligible monthly finalists
- 3 corporate level grand prize winners
Contest Dates:
Starts April 1, 2017 and ends at midnight, August 31, 2017.
Monthly winners:
Each Month, Full Circle TMS will publish the first place dispatchers in the following 3 categories:
- Most Posted Loads
- Most Bid Submitted on Posted Loads
- Most Awarded Bids
The winner of each category will receive $100.00 (One Hundred dollars) in US funds.
For the top 30 in each category, points will be awarded as follows:
- 20 points per Posted Loads
- 10 points per “YES” Bid Submitted on Posted Loads
- 100 points for each Awarded Bid
3 Individual Grand prize winners – The Full Circle “Winners Circle”:
During the first week of September, each “point” earned during the contest will be converted into a “unique ticket number”. Then a random draw will be held and 3 grand prize winners will be selected. The winners will receive the following grand prize:
- Complimentary registration at the Full Circle TMS user group meeting in Louisville, KY September 27-29. This includes access to all scheduled program events and meals for the User Group meeting.
- Two nights stay at the convention hotel on the nights of September 27 and 28, 2017 as a guest of Full Circle TMS (Full Circle TMS will pay for room and tax, guest will pay for all incidentals).
- Attend the Thursday evening (September 28, 2017) horse race event at Churchill Downs (home of the Kentucky Derby).
- While at Churchill Downs (home of the Kentucky Derby) on the evening of September 28, you will be one of the few selected “Full Circle” guests who will go to the “Winners Circle” for race #5 of the evening. This includes:
- Pre-race access to the paddock to watch the saddling of the horses in race #5.
- Special track-side location to view race #5
- After the race, you will be step into the winners circle to assist with the presentation of the trophy to the winning jockey.
- Group photo with the winning jockey, trainer and horse owner.
3 Company winners – The Full Circle “Winners Circle”:
At the end of the contest, Full Circle TMS will publish the top companies (combining all the dispatcher data) for the 3 categories:
- Most Posted Loads
- Most Bid Submitted on Posted Loads
- Most Awarded Bids
The president of the company with the “most” in each category will be invited to the winners circle at the horse race event during our annual user group meeting in September. This will include:

Who is Eligible to enter this contest?
- Any full time employee of a company using the Full Circle TMS software. Company owners are not eligible for the individual prizes and their activity will not be counted towards the overall company prizes.
Definitions:

Posted Load: A posted load is any order that is created in the “Full Circle TMS” system and posted to the Load Board.

Bid: A valid bid is any “YES” bid on any valid posted load in the “Full Circle TMS” system where the bid “rate per mile” is above $1.00 per mile and below $4.00 per mile.

Awarded Bid. An awarded bid is any bid on a valid posted load that was awarded the load using the “award load” feature of the software.
Rules:
- At the end of each month, Full Circle TMS staff will review the monthly top 10 winners to ensure no “padding” or “cheating” occurred. This will include conversations with company owners and other discrete tests. If anyone is caught cheating and “padding” their numbers, they will be removed from the competition completely.
- Full Circle TMS will publish the “top 30” leaders of the competition on a regular basis throughout the contest.
- Monthly winners will be announced on or before May 10, June 10, July 10, August 10 and September 10, 2017 for the prior month. Even though reports may show a winner, until the official report is published, no winner will be announced. Leaders in each category may be subject to validation tests to ensure no padding has occurred.
- For the monthly prize, the same person may win first prize in all 3 categories.
- In the case of a “tie” for the monthly winners, the $100 will be divided equally among the individual winners.
- In the case of a “tie” for the company winners at the end of the contest, the tie breaker will be the person (individual dispatcher for the top companies that are tied) with the highest number in the category. For example, if company A and B are tied at the end of the contest, we will look to the individual dispatcher in each company and use their individual scores to determine a single winner.
- At the end of August, all points will be tallied by dispatcher, and “tickets assigned”, 1 ticket per point. Obviously the more tickets a person has, the higher the probability of winning the Grand Prize. However, the Grand Prize will still be a random drawing, so someone with a single ticket could still win a Grand Prize.
- Grand prize winners will be drawn at random using a computer random number generator. The three winners will be announced by September 11, 2017.
- Once a person is drawn for the Grand Prize, they cannot win another Grand Prize. There must be three distinct Grand Prize winners.

The Grand Prize cannot be converted into cash or any other prize. If the Grand Prize winner declines the grand prize, then a new winner will be drawn from the remaining entrants.
- Grand Prize winners will be responsible for transportation costs to and from the Full Circle TMS User group meeting and any other costs not covered by the User Group Meeting registration.
- Full Circle TMS will pay for the room charge and any applicable taxes at the convention hotel for the nights of September 27 and September 28, 2017. Grand Prize winners will be responsible for all other charges associated to the room or any other hotel nights they stay at the hotel.
- All prize winners must agree to be photographed and to have their winning picture published on our web site.
- Grand Prize winners will be expected to be “formally recognized” at the Thursday evening event at Churchill Downs.
- The decisions of Full Circle TMS and the internal judges for this contest are final.
- These rules may be adjusted from time to time to ensure fairness and accuracy. This contest is supposed to be both fun and deliver value to your respective organizations. If it is determined that individuals or companies are “gaming” the contest, they will be subject to removal and exempt from any subsequent prize opportunities.
- Equinophobia / hippophobia clause: If you are a grand prize winner and you are afraid of horses (known as either equinophobia or hippophobia) … well … that means you are also a stickler for reading rules … because you read this far! You still have to go to the horse race event, but you will be allowed to pick someone else attending the race to be your surrogate in the winners circle.

Q: Why are there three award categories?
A: A successful Load Board needs both loads and bids. The Full Circle TMS software not only automates the posting and bidding process, it also automates the awarding process. There will be many loads posted. There will be many more bids made on those loads. But the number of “awarded” loads may not be very large. Getting an awarded load will be the biggest challenge. So we want to award all three processes.

Q: Why are owners excluded from the contest?
A: If you asked this question, you are probably an owner. Why not recognize one of your employees for a job well done!
Q: How can we measure how we are performing in the contest?
A: Full Circle TMS will publish the leaders of the contest multiple times throughout the life of the contest. Currently there is no online report you can run. Watch for the weekly reports and have fun!
Q: Why is there a “rate per mile” range on the bids?
A: It would be easy to bid “too low” or “too high” on an order just to run up your bid counts. All your bids need to be reasonable. There will be fewer “Awarded” bids and awarded bids garner a higher number of tickets, so all your bids should be reasonable to try and win the load and get more points!
Q: Why are you doing this contest?
A: Full Circle TMS realizes that dispatchers rarely get recognized for their efforts. This is a fun way to recognize them. Not only that, we challenge ALL the owners of ALL the companies to match our contest. Set your own internal contest and reward one of your dispatchers (say … with a trip to the Louisville conference). Those companies who have attended prior conferences and brought along a dispatcher know the value of having dispatchers attend. Besides, how many “additional” awarded loads will it take to pay for this contest? This contest should be a “revenue generator” for all participants.
Q: What if a winner doesn’t want the grand prize? Is there a cash award instead?
A: No.
Q: If I win one of the monthly prizes, how will I get my money?
A: We will work with you to get you the money in the most convenient manner. We prefer an electronic means, but if all else fails, we will send you a check.
Q: If I am a grand prize winner and I fall ill or cannot make the event for some unforeseen reason, can I get the cash instead?
A: No. There is no cash alternative for the grand prize.
Q: If I am a grand prize winner and I fall ill or cannot make the event for some unforeseen reason, can I send another dispatcher instead?
A: Yes. Providing they work for the same company and approved by your superiors. But … you may want to send along a life-size cut-out image of yourself for the amazing photo opportunities you will want to have for your “bucket list” scrap book.
Q: I know how to play the trumpet. Will Churchill Downs allow me to play “call to the post” for the race day?
A: Hmmm … probably not. And if you try it, there might be some folks in white jackets coming to take you away.
