Full Circle TMS Integrates with

EFS

The Full Circle TMS interface makes it easy to safely and automatically advance money to a driver using the carrier defined “driver advance policies”. Driver advances are loaded onto the driver card and then automatically inserted into the Full Circle TMS settlement deduction system to apply against the drivers upcoming settlement.

Driver “Self Serve” Advances

  1. It is fully automatic (your drivers can “self serve”).
  2. It is fully integrated in our TMS via the “Circle Mobile” driver app.
  3. You can configure the system down to the individual driver level.
  4. You can “advance” the driver their money based on four trip milestones
    1. On dispatch,
    2. On First Pick up,
    3. On Last POD,
    4. When Paperwork is “Checked In” by billing.
  5. It automatically puts the money on the drivers EFS driver card
  6. It automatically creates the deduction in the driver settlement system.
  7. You control the “fees” you charge your drivers for this service.
  8. Forces the driver to submit complete and proper paperwork. Using the Circle Mobile app, the driver must submit trip paperwork (Bill of Lading, Proof of Delivery, Freight pictures, etc.) that get automatically indexed to the order. The billing process of “checking in the paperwork” will validate the scanned images before the driver is eligible to get the final advance for the trip.

What are the benefits to you, the carrier?

  1. A driver recruiting / retention tool. Your drivers can get their money faster and automatically.
  2. Everything is automated. Eliminate the overhead of manually doing cash advances (loading money on cards, recording in the driver settlement system, etc.)
  3. Can be “cost neutral” or “a revenue generator”. You can set up “fees” to offset the impact to your cash flow.
  4. You are in control. You can set payment rules for each driver. This includes when they get the advance, how much they can get, and what the “fees” will be to get their money early.
  5. Eliminates negotiations. Drivers no longer call in to “negotiate” their advance with dispatch. Eliminates those 2 a.m. phone calls begging for advance money.
  6. Plus much more.

Frequently Asked Questions

Q. What is the cost of this integration?
A. It is FREE for any subscriber of our ENTERPRISE version of the software.
Q. I have the Enterprise version, what else do I need?
A. You need to be using our “Circle Mobile” app as well as the WEX EFS driver cards. If you need a contact for WEX/EFS, please let us know.
Q. What is the cost the WEX / EFS driver cards?
A. You will need to negotiate that with WEX / EFS. As far as Full Circle is concerned, there is no additional fee to turn on the WEX / EFS interface.
Q. Who controls how much the driver can get?
A. You manage the percentage of the pay the driver can get on each advance, the fee structure and the timing. You also control whether they can get an advance on the components of their pay (Linehaul, Accessorial, Fuel and Empty pay). You can include / exclude the components to use for the advance.
Q. What kind of fees can I charge the driver for this feature?
A. It is completely up to you how to charge the drivers fees. The fees can be a “percentage” with a “minimum” or just a “minimum” or just a “percentage”. The fee structure you charge can be different for each milestone. It is very flexible and configurable by your company.
Q. When can the driver get their advance money?
A. It is based on 4 trip related milestones. On Dispatch, they can get their first advance. On first pick up they can get their second advance. On final POD (Empty) of the trip, they can get their third advance. On paperwork check-in (in the billing process), they can get their fourth and final advance. This means the driver must submit sufficient and quality trip documentation (paperwork) before they are eligible to get their final trip advance.
Q. How does the driver submit their trip paperwork?
A. The Circle Mobile driver app provides an automated tool for the driver to scan and submit trip paperwork for any ACTIVE or HISTORICAL trip they have done. The paperwork is automatically indexed to the order and ready for review by internal staff. It is a few mouse clicks away from being attached to the customer invoice or available to the customer via the online track and trace.
Q. If the driver doesn’t take the advance via the Circle Mobile, can I load the money on their card via the dispatch system?
A. Yes. The system will auto-calculate the available advance for dispatch. They can then put the money on the driver card from the dispatch system. They cannot advance the driver “more than” the calculated advance unless they have the security settings to over ride the advance amount.
Q. Are advance transactions logged.
A. Yes. The system will show you who did the advance (driver or dispatch), dates, times and amounts.
Q. What happens if the trip cancels after an advance has been given the driver?
A. As long as the driver has not spent the money, you can “reverse” the transaction using the “Credit” button in the driver advance system.
